Key accountabilities:

The Time & Expense Creative Agency Operations Analyst is responsible for supporting the Agency Integration T&E solution which spans two systems: WorkBook and myTE. This role will serve as the main point of contact for end-user support with the goal of ensuring all Creative Agency people have timely and successful T&E submissions every two weeks.

  • Serve as the primary point of contact for end-user support by responding to questions about general functionality and specific errors
  • Send email reminder to users about timesheet deadlines
  • Set up tracker for monitoring submission statuses and errors for each submission
  • Proactively seek out users who have not submitted or have errors, investigate, and provide support to avoid future mistakes
  • Categorize error types, solve where possible, investigate root cause and if needed, document findings to send to support for system improvements
  • Run overall submission status statistics and summary of blockers/issues for users who did not submit hours
  • Send targeted reminder to users who have timesheets in unsubmitted statuses
  • Provide support to users who have expenses for the period
  • Identify WBS issues and seek a solution with Project Managers/WBS Owners (mainly Accenture Led Projects & Borrowed Resources)
  • Work with users to submit timesheets once issues are resolved
  • Investigate discrepancies between WorkBook and myTE by reconciling both systems (employee/number of hours/WBS)
  • Work with Resource Managers to understand if hours are accurate or if WBS was used as a placeholder. If placeholder was used, request PPA once the actual WBS is available
  • Assist users in performing PPAs when needed
  • Draft communications, job aids and general information to employees about timesheets and expenses 

Requisitos

Qualifications:

Skills and Experience:

  • myTE and Deltec WorkBook systems experience desired
  • Microsoft Office skills essential, especially Excel
  • Excellent interpersonal and time management skills and ability to work autonomously and as part of a team
  • Strong communication skills, both written and verbal
  • Ability to prioritize work, providing accurate high-quality work under tight and often pressured deadlines
  • Meticulous attention to detail
  • Build and maintain strong professional relationships within the business
  • Proactive and flexible attitude
