Job Summary
The FS Operations Support & Reporting specialist supports the OG Operations team and the FS OUs in helping to support entity leadership, working on special projects, and backfilling for other FS OSP leads during absences and as needed at other points. In addition, the role owns a specific set of reports, which includes maintenance, execution, and other analysts’ work supervision and coordination.
Key Responsibilities

•Help organize work: including workplan, status, continuous prioritization according to latest needs.

•Help manage other analysts on the team.  This may include work assignment and supervision, career counseling, general professional and reporting-specific education (e.g, best practices, guide conduct, effective communication)

•Understand business context enough to help design reports

•Become an expert in MMS and the whole suite of reporting sources available, especially the digital tools: MMS reports & dashboards, Einstein Analytics; MMB; IMP.

•Provide analysis and support for the FS OG and OU Operations teams as needed.

•Support standard and ad hoc management reporting processes and metrics throughout the entity.  This may include creating templates and job aids or other materials to produce reporting packages, as well as direct preparation/analysis/distribution of reports (e.g., opportunity pipeline or win/loss, contingency analysis, etc.)

•Analyze, maintain and ensure accuracy of data within the operations systems according to established guidelines and as needed for system changes, including assisting with production support issues.  This may include track or test defects, helping to track/manage rate cards, opportunity hierarchies, win/loss surveys, or any other Opportunity or Account related data.

•Execute processes as directed and help maintain process documentation.  This includes coordination across OSPs as directed by the OG Operations Lead.

•Help support security administration for the opportunity management tool on behalf of the OU in accordance with data security policies

•Participate in MMS user acceptance testing.

•Manage MMS support, including NBM meeting preparation and follow-up, working directly with executives, as back-up for other OSPs.

•Identify process issues and suggest improvements/solutions.

•Support implementation of process and/or tool changes within the organizational entity.

•Undergraduate degree completed or in process; business management education desirable
•Advanced level of English
Work Experience

•Typically has minimum of 3+ years of relevant experience.

•Proven track record demonstrating technical aptitude and reporting capabilities

Intermediate or advanced Excel expertise
Work Requirements

•May be required to occasionally travel domestically or internationally

•May be required to occasionally work from home

•May be required to occasionally attend out of normal working hours conference calls

•May need to be flexible on work hours at critical sales reporting times, i.e. mid-month and month-end, when a critical issue requires immediate resolution, or when interaction with FS Operations team members in other time zones is required
Knowledge and Skill Requirements

•Strong oral and written communications skills – this role requires a confident communicator and team player with robust interpersonal skills and a “can-do” attitude

•Strong organizational / time management / data management skills

•Accuracy and attention to details; prioritizes and plans work activities.

•Analytical skills; collects and researches data

•Proficient as end user of related operations tools and systems

•Proficient (intermediate to advanced) in Microsoft Excel

•Working knowledge of other Microsoft applications (e.g., Word, PowerPoint, Internet Explorer, Outlook, Teams)

•Understanding of Sales/Opportunity Management process and policies preferred; the ability to follow and apply sales processes, particularly our complex approval processes, is a core competency of the role

•Proficiency in Salesforce and/or MMS Opportunity Management tool use preferred

•Understanding of basic finance concepts for a services company

•Ability to work under minimal supervision and guidance

•Good facilitation and team-building skills
