Act as the Spain Workplace Executive Support team’s representative, supervisor and coordinator. Serve as the primary contact, support person and liaison between the executives and the executive assistants.


Overall Responsibilities

  • ·       Supervise and coordinate executive assistants’ activity, including:

o   managing pools distribution and assignments,

o   monitoring performance,

o   supervising schedules, vacations, absences and overtime,

o   reviewing time reports,

o   handling team communications, leading team leads meetings,

o   planning and coordinating training needs,

  • ·       Act as executive assistants’ representative and first point of contact for MDs (executives). Keep close connections with executives and involve them as needed on executive assistants’ performance, improvement actions, changes on assignments, training needs and other relevant information that may impact work.
  • ·       Proactively identify opportunities to improve processes or functional operations by leading or participating in area related projects. Keep an innovative mind and look for new, creative and efficient ways of working by adding value to the area.
  • ·       Keep current and be knowledgeable on Accenture’s business and strategy. Educate executive assistants on new and existing technology / processes in order to support their executives.
  • ·       Make decisions relating to Executive Support with minimal supervision. Act as first point of contact for feedback, questions and assistance.
  • ·       Manage team’s budget. Compile, process and analyze data based on team objectives and prepare reports.
  •   ·     Participate in global Executive Support community call representing the country sharing best practices and collecting new ideas.
  • ·       Oversee, coordinate and administer the hire process. Train and mentor new hires.
  • ·       Maintain Executive Support assets including team sites and email distribution lists.

·       Requires analysis and solving of moderate to complex problems. May create new solutions, leveraging and, where needed, adapting existing methods and procedures.

·       Requires understanding of the organization and the strategic direction set by senior management as it relates to team goals.

·       Requires interaction with supervised team members, peers and/or high management levels within Accenture. Primary upward interaction is with direct supervisor (Workplace Lead).

 

Authority

·       Requires independency and minimal guidance when determining methods and procedures on new assignments.

 

Impact

·       Decisions taken impact the team in which they reside.

 

Scope

·       Manages moderate size teams and/or work efforts within Accenture.

 


Skills and Proficiency Expectations

9.     Solid knowledge of Microsoft office tools and SharePoint

10.  Fluent English (spoken and written)  

11.  Minimum 3 years’ experience in team management and/or supervision role
