The Role
 
To support the Office Operations Specialist in the delivery of services within Accenture location(s).  To provide client focused, value added service to the building and its customers.
Reporting to the Office Operations Specialist the Senior Analyst supports the Specialist in the delivery of the full Accenture Workplace Solutions (AWS) service within UKI location(s) to agreed service levels, within budget to achieve customer satisfaction levels above the global average.
 
 
What responsibilities will you have?
 
Financial Management
  • Identify ways to reduce cost and/or improve service levels.
  • Monitor and report expenditure in order to achieve results within target.
  • Produce purchase orders as required and receive, check and authorise invoices.
  • Ensure compliance with Accenture’s procurement and payment policies.
  • Budget responsibility – ensure adherence to Accenture policies and procedure (where applicable).
 
  • People & Team Activities
  • Manage their own performance attending 1-1s and team meetings on a regular basis to review performance and to identify issues, opportunities and development needs.
  • Ensure adherence to Accenture performance management process.
  • Oversee on-site supplier teams responsibilities to ensure first class service delivery
  • Supervise on-site supplier team deliverables
  • Organise and manage weekly reviews with on-site Senior Facilities Manager and produce high level weekly management report to Office Operations Specialist
 
Delivering Customer Service Excellence
  • Build effective relationships with clients, actively seeking out and responding to customer feedback.
  • Work with client representatives to capture requirements in order to develop knowledge of the client requirements and desired service levels. 
  • Delivers projects as directed by the Office Operations Specialist within agreed timescales and budget.
  • Advise clients/customers on statutory health and safety and building regulations to ensure compliance and reduce risk.
  • Deliver all elements of the SMF (incident, problem, change & reporting) as required by the Office Operations Specialist/Manager.
  • Produce monthly location report to Office Operations Specialist/Manager, incorporating Customer Services and site security team performance/deliverables.
  • Produce and deliver relevant location communications to agreed AWS standards.
  • Space planning and management
    • Arrange monthly meetings to review stakeholder resource profiles
    • Plan and implement internal moves
    • Co-ordinate new joiners and leavers process with responsibility for workspace planning
  • Provision of local EMS management
  • Provision of local VC support
  • Ensure security access processes are managed efficiently to comply with Accenture security standards & accreditations (where applicable)
  • Provision of homeworking support to client (where applicable)
  • Provision of Technology support (where applicable)
  • Manage bad debt and running process for Amex (where applicable)
  • Assist when required the Office Operations Specialist/Manager with larger projects i.e internal improvements, enhancements.
 
Supplier Management
  • Liaise with 3rd party suppliers & contractors to ensure provision of effective services, including security, catering, cleaning, M&E, and other support services.
  • Represent AWS at internal and external audits
  • Build effective working relationships with relevant local Security Teams
  • Manage, support and ensure ISMS/SMS/BCMS action plans are updated and closed out within required timescales.
  • Attend / deputise meetings in the absence of Office Operations Specialist
  • Complete all location audits quarterly in conjunction with suppliers.
  • Attend Service Review meetings to discuss audits and capture actions to maintain/improve service levels and financial performance.  
 
 
Health, Safety and Risk Management
  • Act as HSESC coordinator with responsibility for health and safety within the location(s), managing PEEPS where applicable and when required.
  • Manage fire warden and first aider provision across locations
  • Conduct and manage Workplace Inspections, including management of all risk assessments and correction action plans to completion
  • Carry out accident logging, investigations and reporting.
  • Liaise with Risk Management team to ensure completion of required Health and Safety audits, processes and documentation.
  • Deputise for Office Operations Specialist/Manager in the Location Emergency Action Team.
  • Manage incidents and risks to resolution.
  • Provide support to the Office Operations Specialist up to and during power shutdowns
