The Location Facilities Specialist operates to deliver a variety of specialist facility & building management services, on-site at a moderate to large size location or across a small number of smaller locations, and is responsible for coordinating the work of a small workgroup. The specialist develop and/or support the workplace strategy by working with internal and external clients/customers to determine how to best leverage workplace assets and infrastructure, such as real estate, safety and security, office operations etc. Manage and support workplace programs and initiatives focused on ensuring Accenture is leveraging or leading industry standards. May also take to task to independently carry out routine tasks according to guidelines and/or under supervision.


Key Responsibilities

Real Estate Project Management

  • To ensure smooth implementation of projects from start to finish, end to end process starts with identifying the potential sites, sites evaluation, Real Estate Approval (AP20), Life, Safety & Security Approval (AP58) & other related to workplace requirements either global & local standards inclusive managing & coordinate the related contracts and agreements 
  • Monitor project progress, anticipate and resolve problems and contractual disputes with being the point of contact to liaise with respective legal, building management, appointed consultant, contractors & local authority to obtain the necessaries compliance and license 
  • To prepare proposal papers to ensure the Value Added / Change Management initiatives are carried out accordingly together with the periodically inspections and/or follow up with contractors to check work progress as well as condition of ongoing works to ensure the completion timeline 
  • May be workplace/real estate representative to attend the related project meetings, seminar or conference and provide the project progress, updates & reports to ensure all the stakeholders are aware on the project

  • Assist in planning and manage operations and delivery of services, ensuring operational compliance to policies, budgets and guidelines and review performance against business objectives
  • Assist in developing and managing contract relationships with external service providers (negotiate and manage contracts, review performance against strategy and budget).
  • Participate in the strategic review of business operations and also ensure execution of Workplace Solutions strategy, policies and goals with a focus on long-term business planning and forecasted Workplace Solutions requirements
  • Work together in designing and implement programs and processes to deliver performance improvements to continually support Accenture's Workplace Solutions strategy, including participating in sharing best practices across teams/locations
  • Independently complete a wide range of Workplace Solutions performing the administrative duties involve customer services activities such as workspace set-up, helpdesk services, A/V support, catering for meeting & events, logistic, document, record & storage services - retrieval, return and/or destruction of documents, according to archival guidelines, switchboard, front desk management, floor operations support, space utilization management or other location services with supplies and inventories in agreed KPIs & SLAs
  • Plan and manage operations and delivery of services, ensuring operational compliance to policies, budgets and guidelines and review performance against business objectives & coordinate & conduct quality assurance checks, audit & assessment to ensure service standards are being met for workplace solution 
  • Administer the internal & external communication, announcement, reporting, designing format, survey with analyzing and documenting existing processes and systems leading to improvements, initiatives and recommends new or revised reporting as required.
  • May oversee and assist with orientation & integration of new joiners inclusive the familiarization of location
  • May act as a point of contact for the landlord or external providers and manage regular contract relationships.
  • May support the day to day management of a Workplace Solutions commodity, including maintaining key relationships with suppliers and other industry professionals, influencing compliance of the overall commodity strategy and maintaining commodity content on Accenture applications and other communications
  • May receive, review and allocate Workplace Solutions invoices for the location and/or supplier, including resolving billing issues with vendor and escalating issues as needed, and may serve as point of contact for managing the Workplace Solutions invoices for the GU/location.
  • May process space reservation requests (assign and confirm space, catering and equipment – audio/video) and ensure optimal workspace occupancy (less than 50% of their time.) inclusive the workplace management of maintain and/or provide support for workspace/meeting rooms including catering and audio/visual equipment.
  • Participate in the strategic review of business operations and also ensure execution of Workplace Solutions strategy, policies and goals with a focus on long-term business planning and forecasted Workplace Solutions requirements  
  • Oversee regular scheduled maintenance and unscheduled repairs of infrastructure and equipment (for example, heating, ventilation, lighting, air-conditioning, plumbing & sanitation, power, security, fire & life safety equipment and elevators/lifts.) 
  • Conduct quality assurance checks to ensure service standards are being met. 
  • Oversee the provision of basic technical support for standard office equipment (e.g., copiers and printers) and coordinate service with other providers (e.g., IT or contractors) 
  • Oversee the purchasing, maintenance and disposal of company Workplace assets, in line with Accenture and local policy. 
  • Oversee the setup, maintenance and support for workspace/meeting rooms including catering and audio/visual equipment

Life Safety & Security

  • Understand Accenture’s corporate Life Safety standards & align the best practice for Malaysia office & support programs which recognize Accenture’s commitment to occupational health as well as local compliance with health and safety codes
  • Be aware of approaches to responding to occupational health environment align with the local statutory & compliance Act including
  • Support the daily operations of the Life Safety & Security functions inclusive of the fire protection & suspension system, coordinate the emergency/drill evacuation with the building management and to comply to the local authority regulations –not limited to support crisis preparation & response
  • Security system coordination comprises of access card, personal data protection comply to the policy and standard operating process & procedures
  • Support the identification of opportunities for program and standards improvements, and work with the GU Life Safety leadership to develop and implement solutions, outcomes & direct the work of other Life Safety team members and/or other Workplace Solutions personnel  

Records & Information Management

  • Manages physical records from all functions, in secure offsite or onsite storage and Implements or assists with implementing local procedures that comply with global standards and guidelines; assists with implementation of new global processes and/or procedures
  • Performs quality check of Business Record submissions to MMR/HRMR (Accenture Records Management System) with facilitates the disposition processes according to global guidelines, retaining all pertinent documentation complies to Accenture’s Records and Information Management policies (AP123, AP1413) and related Retention Schedules and Procedures
  • Promotes Records Management best practices and provides support for Client Teams and Corporate Functions for their Records Management procedures & educate and train Client Team Records Leads and OG Leadership on their responsibilities regarding submission and transfer of client engagement records
  • Identify and/or escalate potential issues or concerns regarding the management of records to local leadership or global Records and Information Management as appropriate; may serve as key contact with offsite storage vendor(s) for secure transaction processing


  • Degree in Business Management, Facilities Management or relevant qualifications
  • 5-7 years’ experience in similar facilities management roles preferably in Corporate MNCs
  • Knowledge of vendor management
  • Knowledge of occupational health and safety requirements
  • Good communications skills in English
  • Strong teamwork skills and capable of overseeing team members
