Job Summary:
 
The Executive Support Assistant provides administrative support to senior executives and independently completes a variety of tasks and provides a variety of front office services such as reception, reservations and PBX operations.  He/She may work in a team environment, sharing accountability for executive support or serve as a primary contact between the executives and his/her team.  He/She not only responds to senior executive requests, but proactively anticipates the needs of senior executives.
 
Key Responsibilities:

·         Provide a consistently high level of quality service to senior executives, handling a variety of administrative requests with multiple priorities.
·         Demonstrate ownership of requests to ensure senior executives needs are met; seek to exceed expectations of executives.
·         Complete senior executives requests in a professional, efficient and timely manner
·         Provide services, including:
-         Arrange and co-ordinate complex and multi-destination travel and accommodation requirements using the preferred suppliers and the systems and processes in place
-         Meeting planning (coordinate participants, send invites (as iCalendar not from personal diaries), booked space, AV, catering, etc.); may liaise with the Meeting and Events Planning team, where appropriate
-         Conference Calls (coordination, changes and dial in setup), may proactively confirm required attendees
-         Personal Workspace (reserve, cancel)
-         Format, brand, edit documents as required and specified using the appropriate software (PowerPoint/Excel etc)
-         Mailer support
-         Assist senior executives to find the right internal contact (onshore or offshore) or process - as necessary (e.g., Event Planning, branding, copying)
·         Drive customer service excellence - build relationships with executives and where applicable, to facilitate improved service delivery.
·         May assist senior executives in the use of company self-enabling tools (i.e. travel, reservations, conference calls).
·         Demonstrate proficiency of all administrative support applications and processes
·         Identify and proactively communicate potential issues to leadership
·         Recommend process improvements to enhance and improve service and overall performance
·         Work as a cooperative and collaborative member of a high performing team
·         Identify, resolve or escalate conflicts with sensitivity and tact
·         Communicate with executives on status of tasks and deliverables (including contingency plans and outstanding items).
·         May prepare and  draft documents and correspondence according to company guidelines, (i.e. brand compliance, proofreading materials for consistency, grammar, spelling). May transcribe notes from various sources.
.         May provide translation support, where appropriate (native language / English)*.
·         May assist with the preparation of presentations, proposals and client deliverables (taking assistance from other individuals or service departments, as necessary).
·         May provide research support and information gathering, from identified sources, in format and established guidelines requested by executive.  May prepare simple reports combining basic information.
·         May record and monitor work request on a timely manner according to local capabilities and guidelines.  Maintain voicemail and email distribution lists
·         Process workspace and conference space requests via phone or on-line database.
·         Ensure optimal workspace occupancy.
·         Coordinate movement of conference space and workstations to effectively manage space inventory on a daily basis.
·         Create, analyze, edit and distribute daily, weekly, and monthly reports.

Qualifications

Qualifications:
 
Education: Bachelor / Diploma.
Work Experience: Typically has a minimum of 5 years of administrative or customer service experience.
 
Knowledge and Skill Requirements:
 
• English speaking, writing and reading
• Excellent customer service skills
• Full fluency in specified language skills (read, write, speak) as determined by geography - exam may be required
• Good knowledge of Word, Excel, PowerPoint and internet; may also require working knowledge of other software applications.
• Proficient with web-based applications (internet, intranet)
• Effective multitasking skills to meet range of customer needs.
• Strong verbal/written communication skills (effective listening and oral communications)
