The Facilities Coordinator Specialist is responsible for supporting the day-to-day delivery of workplace and facilities services, ensuring a safe, compliant, and efficient working environment. The role focuses on operational excellence, vendor coordination, compliance adherence (e.g., ISO 27001, H&S standards), and continuous improvement of workplace services to enhance employee experience and business continuity.

Key Responsibilities:


1. Facilities Operations & Service Delivery

• Daily Floor walk covering L3 Areas, common space and production space to carry out health checks

• Coordinate daily facilities operations including housekeeping, maintenance, security, and soft services

• Ensure all workplace services are delivered in line with SLAs and operational standards

• Monitor and track service requests, incidents, and completion timelines

• Support workspace planning, seating arrangements, and moves/adds/changes (MAC)

2. Vendor & Contract Management

• Act as the primary point of contact for facility service vendors

• Monitor vendor performance against KPIs and contractual obligations.

• Conduct regular service reviews (Monthly) and escalate non-compliance issues

• Validate vendor invoices and ensure alignment with delivered services

3. Health, Safety & Compliance

• Ensure compliance with Health & Safety regulations and internal policies

• Support risk assessments, audits, and corrective action tracking

• Maintain accurate records for inspections, certifications, and compliance audits

• Assist in emergency preparedness activities (fire drills, evacuation planning)

4. Workplace Experience & Stakeholder Engagement

• Address user feedback and drive service improvements

• Coordinate meeting room readiness, workplace events, and internal activities

• Ensure a high-quality, safe, and user-friendly workplace environment

5. Asset & Infrastructure Management

• Maintain accurate asset inventories and track equipment lifecycle

• Support onboarding/offboarding logistics (workspace readiness, access, equipment)

• Ensure proper handling and disposal of assets in line with policy

6. Reporting & Continuous Improvement

• Prepare operational reports (KPIs, SLA performance, incidents, audits)

• Identify opportunities for cost optimization and process standardization

• Support implementation of workplace initiatives (e.g., sustainability, digital tools)

• Contribute to SOP documentation and process improvements

7. Security & Access Control (if applicable)

• Support access management processes

• Ensure compliance with data protection and security policies

• Knowledge of facilities management operations and best practices

• Understanding of H&S regulations and compliance frameworks (ISO 27001, SOC controls preferred)

• Vendor management and stakeholder engagement skills

• Problem-solving and proactive issue resolution

• Strong communication skills (written and verbal)

• Ability to work in a fast-paced, service-oriented environment

Qualifications & Experience:

• Bachelor’s degree in Facilities Management, Building Management, Business Administration, Engineering, or related field

• A minimum of 5 - 8 years of relevant work experience in MEP (Mechanical, Electrical & Plumbing) for Building management and Project Management is a must

• Experience working in corporate or multinational environments preferred

• Familiarity with Project Management tools, ticketing tools, or workplace management platforms is an advantage

Work Timings:

  • Standard office hours within a five- day work schedule, including Saturdays.
  • Availability to work outside business hours and during weekend is a must.
