Role Summary
Provide end‑to‑end workplace finance support by managing financial and commercial activities related to workplace operations. The role supports Japan and focuses on accurate processing of purchase orders, financial reconciliations, vendor coordination, and resolution of finance‑related queries while meeting defined SLA, quality, compliance, and cost standards.
Key Responsibilities
- Raise, track, and manage purchase orders (POs) in line with internal finance, procurement, and compliance guidelines.
- Manage finance and commercial queries related to workplace services through multiple channels (ServiceNow, email, calls, Teams).
- Perform financial reconciliation of invoices, accruals, and expenses to ensure accuracy and timely closure.
- Handle vendor query management, including follow‑ups on invoice discrepancies and coordination with vendors and internal stakeholders.
- Support accounts payable–related activities (limited scope) such as invoice validation, exception handling, and documentation support.
- Accurately log, track, and document all financial transactions and interactions in finance and CRM systems.
- Identify discrepancies, exceptions, and aged financial items; escalate and follow up as required.
- Prepare financial reports, trackers, dashboards, and status updates for operational and management review.
- Ensure adherence to OPEX guidelines, financial controls, audit requirements, and SLA commitments.
- Coordinate with workplace, finance, procurement, and cross‑functional teams to ensure timely resolution and continuous process improvement.
Required Skills & Qualifications
Must Have
- Educational Qualification: Bachelor’s degree in Commerce, Finance, Accounting, or a related discipline.
- Japanese language proficiency – JLPT N1 or N2, with strong reading, writing, and verbal communication skills.
- Knowledge and hands‑on experience in the finance domain, preferably in operational or transactional finance roles.
- Experience in purchase order management, reconciliations, accruals, vendor management, or finance query handling.
- Strong analytical skills with high attention to detail and data accuracy.
- Effective stakeholder communication skills and SLA awareness.
Good to Have
- Exposure to accounts payable processes and corporate finance operations.
- Experience working with ERP or finance systems (e.g., SAP, Oracle) and CRM tools.
- Proficiency in MS Excel for financial tracking, reporting, and reconciliations.
- Experience supporting Japan and/or South East Asia stakeholders in a shared services or global delivery environment.

Experience & Education
