You are:
A Business Operations Specialist who will support the effective delivery of the AFS IT department across all workstreams while supporting leadership priorities and initiatives. You will help build and drive community by increasing collaboration and engagement, while leveraging the teams supporting related areas. In additional to the engagement work, you will be supporting the leadership team with a focus on finance, contracting, and operations. The work would be both standard deliverables as well as ad hoc project support. 

The Work:

  • Maintaining the IT and IRB Initiatives Financial Models, including planning and forecasting, in an auditable manner

  • Research and resolve forecast to actuals cost variances, and present findings to leadership

  • Mapping  costs to and maintaining the IT Service Catalog and competitive analysis models

  • Creating ad hoc and monthly financial reports and decks; presenting same to IT Leadership

  • Managing IT project numbers and WBSE's to ensure structure supports reporting requirements

  • Defining, gathering, and reporting on metrics for overall IT Org

  • Preparing documentation, participating in interviews, and providing evidence in support of audits

  • Validating budgeting best practices are enforced across the IT Org

  • Supporting and supervising purchasing activities across the IT Or (including invoice submissions and logging, purchase request submissions and monitoring)

  • Working with Contract Management/Procurement to setup new/update existing vendor agreements and contractor task orders, create SOW's, and track payments

  • Working with originating entities (outside vendors and Accenture) to identify and correct inaccurate invoicing

  • Tracking software and support/maintenance contracts

  • Monitoring resource assignments, and maintaining the org chart and roster

  • Cross training on and assisting in other areas of Business Operations to support the overall team mission

  • Provide ad hoc analysis and support as required to both the Account Lead

Qualifications

Here's what you need:

  • U.S. Citizenship Required

  • 3 years experience extracting, aggregating, and structuring data along different dimensions utilizing Excel and/or PowerBI (pivot tables, charts, etc.)

  • 3 years experience using PowerPoint

  • 3 years process management experience

  • 3 years experience supporting, communicating with, and presenting to Executive Level managers

  • 3 years of business analysis and reporting experience

  • 1 year of accounting or finance experience to include financial modeling, budgeting, and/or forecasting.

Bonus points if you have:

  • Bachelor's Degree

  • 2 years minimum experience of training and/or coaching professionals

  • 2 years minimum experience IT procurement, contract, and vendor management

  • Experience with Microsoft Project, OneNote, and Teams
