OVERALL PURPOSE OF JOB 

The Workplace Operations Lead oversees and manages all aspects of facility operations, office services, and/or executive support services across area of responsibility in a manner consistent with the Company’s financial and operational objectives, while assuring quality and efficient service.

Responsibilities/Authorities

  • Responsible and lead for the overall upkeep of site area of responsibility.

  • Provide leadership and direction to contractor regarding to the alignment of housekeeping, guards and AV/Office Facility Maintenance and overall facility operations and scope/quality of services as agreed in the contract

  • Ensure well performance KPI’s contractor in line with Accenture Policy and standard

  • Responsible in the OPEX budget preparation, forecasting, saving, tracking and analysis of monthly expenses.

  • Required to perform BCP roles as reflected in the BCP manual

  • Monitors and signs time reports of contractors (guards, cleaners, etc.).

  • Manage and compromise positive relationships with all internal/stakeholders/ and external customers/vendors and independently resolve escalated issues.

  • Coordination and supervision of project movements, this includes computer, boxes, etc.

  • Provide clearance on resigned staff / personnel.

  • Issuances of gate pass for all assets of the office that need to be taken out of the office.

  • Monitor and ensure contractor to well coordinate with building administrator/management for various facility matters.

  • Supervise the annual inventory of fixed assets.

  • Monitor monthly reports pertinent to facilities security (Building admin and vendors).

  • Update contact information such as building admin security, Accenture striker, City Service personnel leads, emergency numbers, fire department and project managers,

  • Checks the forms on a weekly basis.

  • Issuance of office supplies to projects.

  • Assist during emergency calls.

  • Assist Coordinates with Procurement for deliveries (supplies and equipment).

  • Overall responsible for his site’s labelling and handling of information assets per ISO27001.

  • Reviews and updates asset inventory and valuations under his custodianship

  • Adheres to PDC policies on security with regards to usage of Accenture assets such as IT equipment, information assets etc.

  • Required to review and act on Non IT security incidents affecting his area of responsibility

  • Maintains Confidentiality of sensitive documents

  • Lead and prepare the project team for any scheduled for client’s audit such as work environment audit / security audit to ensure the client’s requirement compliant

  • Ensure closure of all audit findings (ISMS Internal Audit, Client Audit, Certification Audit/Continual Assessment)

  • And other tasks as may be assigned such as office expansion/ISO certificate project and etc.

  • Be the main POC to handle any emergencies of the site 24*7

Qualifications

  • Minimum 3-4 years of facility management, business administrative or related field.

  • Good command in English

  • Excellent administrative, organizational, and problem-solving skills with strong attention to detail, and the ability to problem solve in a collaborative, inclusive team environment
