Job Summary

A Case Coordinator (CC) within Accenture Mobility is responsible for assisting in the delivery of mobility services in connection with all Accenture cross border policies and for understanding and escalating risk area’s and compliance issues for the country of responsibility within Southeast Asia (SEA) under the supervision of the SEA Mobility Lead.  In addition, the CC is also responsible for providing administrative assistance and support related to all processes (immigration, tax, corporate housing, case management, travel, meetings and events) within Mobility services to ensure smooth delivery of mobility operations. 

In this specific role, the CC is also responsible for Immigration Services for Singapore.  These are detailed below.

Key Responsibilities

Operations

  • Support the Visa and Immigration Service for Singapore, ensuring that the process runs smoothly.

  • Apply understanding of assigned business process to identify gaps and propose continuous improvement measures.

  • Provide continuous improvement to processes, tools, metrics and training, based on ongoing experience, process metrics and feedback from process users and other stakeholders to drive further efficiencies in the organization

  • Remain up to date with any changes to legislations

  • Provide our services as part of an integrated, cross-enterprise team supporting global mobility for Accenture

  • Ensure timely engagement with the customers, team members & respective team leads, enabling a wholesome & synergized experience to all involved in the service delivery chain to ensure compliant, safe & secure mobility.

  • Exhibit & practice service quality programs & key behaviours to foster an environment of hospitality for customers.

  • Consistently use & promote mobility processes & tools for seamless enablement of, immigration & tax processes. Seek guidance from respective team leads for synchronization of all associated services including, but not limited to travel arrangements, visa requirements, foreign exchange / currency enablement, health insurance & expense claims.

  • Ensure delivery of employee immigration and tax operations by offshore service delivery teams in accordance with internal policy, legal and operational mobility requirements.

  • Highlight and train any change in process to Delivery teams (onshore/offshore) where they are managing the entire or parts of the immigration process.

  • Promptly spot issues & consult with respective team leads to assess methods for resolving customer queries of varying intensity, to ensure high quality & swift responses. Immediately raise attention to & flag escalations received, inform & involve functional leads & associated teams, as essential. Follow guidelines to record the occurrence in designated tools/channels.

  • Contribute to administration of external & internal service & compliance audits, provide feedback to local, onshore, offshore, global & cross-functional teams.

  • Build knowledge for operational requirements.

  • Administrative assistance and support related to all processes (immigration, tax, corporate housing, case management, travel, meetings and events) within Mobility services to ensure smooth delivery of mobility operations.

General

  • Assist with ad-hoc advisory tasks or projects where required

  • Coordinate knowledge sharing sessions and initiatives across relevant stakeholders

  • Assist for successfully transitioning work into the shared service centers on time and within budget. Represent the onshore team, support and manage change through the transition

  • Maintain good relationships with appointed service providers and ensure that employees are always receiving quality service

  • Manage and log documentation for immigration and tax matters including courier services for such documentation

  • Maintain and update company documentation required for immigration and tax matters

  • Maintain awareness of local, national & global special projects & support implementation of outcomes

  • As directed, co-ordinate with relevant stakeholders & cross-functional teams to provide required support in the event of an emergency incident.

Qualifications

Qualifications and Experience

Education

  • Diploma or equivalent higher education qualification

  • Qualification in a related field (e.g. Immigration, Tax, HR) an advantage

Skills

  • Self-starter, with strong interpersonal, organizational, analytical, and verbal & written communication skills

  • Ability to function as a Team Player and maintain a good working relationship

  • Ability to think and act independently with professionalism, discretion and confidentiality

  • Ability to multi-task, work in a fast-paced and dynamic environment to manage time and meet required deadlines

  • Ability to exercise tact and diplomacy to manage various stakeholders

  • Attention to detail

  • Critical thinker with superior issue resolution skills

  • Strong 3rd Party Vendor/Partner & Service Quality Management

  • Proficiency with standard Microsoft applications (excel, word, exchange) plus job specific tools (People Mobility Gateway, Immigration toolkit, share point, etc)

  • Experience in immigration, assignment management or tax

  • Thorough understanding of Accenture’s global policies as applicable to cross border assignments and permanent transfers, and any applicable local country addenda (including travel, immigration, tax equalization, finance)

  • Understanding of Accenture business strategy, objectives and org structure

  • Understanding of border control procedures as well as any related legislation for Singapore and other Southeast Asia countries

Work Experience

  • 2-3 years with a multinational company in the field of service delivery preferred; experience in immigration, expatriate administration or tax is an advantage.
