The Asst. Operations Lead assists in overseeing and managing Operations Lead in all aspects of facility operations, office services, and/or executive support services across area of responsibility.
The Asst. Operations Lead assists the Operations Lead in overseeing and managing all aspects of facility operations and/or office services, including managing contract relationship with external service providers (e.g., IFM, lease, building administration, etc.), across area of responsibility in a manner consistent with the Company’s financial and operational objectives, while assuring quality and efficient service.
Responsibilities includes the following:
- Assist for the overall upkeep of site area of responsibility.
- Assist Operations Lead in managing a team of supervisors and/or coordinators.
- Participate in the strategic review of business operations and implement subsequent outsourcing decisions.
- Assist in developing and manage contract relationships with external service providers (negotiate and manage contracts, review performance against strategy and budget).
- Contribute to department’s strategic plans.
- Oversees development and lead programs/projects with high complexity.
- Design and implement programs and processes to deliver operational effectiveness targets.
- Actively participate in sharing best practices across departments.
- Assist in the budget preparation, tracking and analysis of expenses.
- Required to perform BCP roles as reflected in the BCP manual
- Participate in all required audits and assist in closing all audit findings (ISMS Internal Audit, Client Audit, Certification Audit/Continual Assessment)
- Provide leadership and direction to housekeeping, guards and AV/Maintenance regarding facility operations and scope/quality of services.
- Monitors and signs time reports of contractors (guards, cleaners, etc.).
- Manage positive relationships with all internal and external customers/vendors and independently resolve escalated issues.
- Coordination and supervision of project movements, this includes computer, boxes, etc.
- Grant temporary access pass to Accenture staff, contractual and visitors in area of responsibility.
- Assist in providing clearance on resigned staff / personnel.
- Assist in monitoring issuance of temporary proximity cards to Accenture staff, contractual and visitors in area of responsibility.
- Issuances of gate pass for all assets of the office that need to be taken out of the office.
- Coordinates with building administrator for various facility matters.
- Supervise the annual inventory of fixed assets.
- Monitor reports pertinent to facilities security (Building admin and vendors).
- Update contact information such as building admin security, Accenture striker, City Service personnel leads, emergency numbers, fire department and project managers,
- Checks the forms on a weekly basis.
- Issuance of office supplies to projects.
- Assist during emergency calls.
- Supervises issuance of keys for mobile pedestals, lockers and storage cabinet.
- Generate stock card inventory
- Submits seat allocation report to Facilities Specialist on a monthly basis.
- Assist during emergency calls.
- Coordinates with Procurement for deliveries (supplies and equipment).
- Overall responsible for his site’s labelling and handling of information assets per ISO27001.
- Reviews and updates asset inventory and valuations under his custodianship
- Adheres to PDC policies on security with regards to usage of Accenture assets such as IT equipment, information assets etc.
- Required to review and act on Non IT security incidents affecting his area of responsibility
- Maintains Confidentiality of sensitive documents
- And other tasks as may be assigned
Qualifications
Must Have:
- 6 to 7 years’ experience in Property / Facilities Management
- Strong Client Relations / Stakeholder Management
- 2 to 3 years People Management
