General Description
The Software License Specialist is responsible for managing and optimizing software licenses across the organization to ensure compliance, cost-efficiency, and alignment with legal and contractual requirements. This role supports software asset management (SAM) across diverse IT environments—including on-premises, cloud, and hybrid infrastructures—and collaborates with procurement, legal, and IT teams to maintain accurate license inventories and support strategic decision-making.
Key Responsibilities
- License Compliance & Validation
Monitor and enforce compliance with software licensing agreements. Conduct internal reviews and generate Effective License Positions (ELPs). Maintain documentation of compliance findings and remediation plans. - Contract Analysis & Lifecycle Support
Analyze software licensing agreements and entitlement documents. Support the full lifecycle of software contracts—from evaluation and acquisition to renewal and termination. - Inventory & Tool Management
Maintain accurate software license inventories using tools such as Flexera, ServiceNow, or equivalent ITAM platforms. Track usage, renewals, and compliance metrics. - Procurement & Cost Optimization
Collaborate with procurement teams to negotiate favorable licensing terms. Identify opportunities for cost savings through license harvesting, reallocation, and contract consolidation. - Vendor Relations
Build and maintain relationships with software vendors. Stay informed about licensing model changes and industry trends. - Training & Policy Development
Develop and implement licensing policies. Educate internal teams on compliance requirements and best practices through training and documentation. - Audit & Reporting
Prepare compliance reports and support internal or external audits. Provide insights and recommendations for license optimization.
Mandatory Skills
- Basic understanding of software licensing concepts and compliance.
- Experience with IT support, procurement, or asset management.
- Familiarity with inventory and ticketing tools (e.g., ServiceNow, Flexera).
- Strong analytical skills and attention to detail.
- Effective written and verbal communication.
- Proficiency in Excel (basic formulas, tables).
- English proficiency (B2 or higher).
Desirable Skills
- Knowledge of licensing models for Tier 1 vendors (e.g., Microsoft, Oracle, IBM, SAP) and Tier 2 vendors (e.g., Adobe, VMware, BMC).
- Experience with software license compliance reviews and ELP generation.
- Experience with software procurement and vendor negotiations.
- Intermediate to advanced Excel (pivot tables, VLOOKUP).
- Understanding of software discovery tools and scanning technologies.
- Ability to interpret licensing terms in complex IT environments.
