We are looking for talented people to join our Workplace Team, for the position of

 

Location Facilities Specialist

 

Supervise and deliver a set of Workplace Solutions capabilities including Workplace Operations Services and Space Management for all Mauritius location:

Office Operations includes A/V support, catering, document, switchboard, reception, floor support, asset management, building maintenance, cleaning, mail delivery, logistics and transport.

Space management includes the delivery of all space management and related services (e.g. project or group seat / space allocations, conference room bookings, etc), with the primary focus on achieving optimal seat and space utilization, while considering the varied requirements of all businesses.

 

What are your responsibilities?

 

Building & Maintenance:

  • Organize and execute the activities required to ensure interiors are as per Accenture policies and standards.
  • Undertake running repairs and maintenance of various office furniture, machinery, fit-outs, cabinets, blinds; and manage basic carpentry.
  • Manage procurement & stock of consumables, tools and spares.
  • Do regular floor walks to ensure building is in proper running conditions.
  • Monitoring & Maintaining AC Units and ventilation systems  to ensure optimal performance.
  • Troubleshoot equipment.
  • Ensure that all requests are resolved/closed within the SLA.
  • Manage small office moves, PC and furniture in and around the buildings.
  • Co-ordinate medium to large scale moves with service providers.

Pre-Planned Maintenance:

  • Execute the regular scheduled maintenance and unscheduled repairs of infrastructure and equipment.
  • Execute the energy utilization and activities to reduce energy consumption and the collection and disposal of waste materials in accordance with Accenture and local policy.
  • Do regular checks and ensure that the Fax machine/Photocopier/Scanner are working properly and report any anomaly to the location coordinator.

Strategy:

  • Provide input on the strategic direction and vision for Office Operations and Space Management. 
  • Define performance metrics and monitor performance against the strategy for different groups and revise/update strategies as appropriate.
  • Identify and analyze trends of concepts/technologies impacting the Workplace Solutions capabilities and specialties.
  • Design and manage new or changes to, existing operating models, technologies and business applications to continually support Accenture's Workplace Solutions strategy.

Delivery:

  • Execute overall workplace strategic direction and vision for the capability areas.
  • Manage and oversee Accenture's Workplace Solutions operations across all Accenture businesses in line with the predefined scope of services, processes and standards.
  • Work collaboratively and proactively with customer groups to achieve optimal seat and space utilization results, based on Seat Demand and Supply.
  • Build super-user skills in Workplace Solutions tools such as Seat Management, Centerstone.
  • Monitor appropriate metrics to measure and support space utilization and occupancy.
  • Account for results of work and customer satisfaction across area of responsibility.

Financials / Budget Management:

  • Plan, manage and account for Workplace capabilities operating budgets.
  • Provide input in establishing and overseeing the capital budgets including variance analysis, annual/quarterly forecasting and long-term planning.
  • Review and approve Workplace Solutions invoices for the location and/or supplier, including resolving billing issues with vendor and escalating issues as needed.
  • Manage charge out where applicable.

Customer / Vendor Relationships:

  • Manage relationships with internal customers and independently resolve escalated issues.
  • Manage the relationship between Workplace Solutions and other customer groups, Corporate Functions and user groups to ensure correct alignment with business priorities.
  • Develop and manage contract relationship with external service providers.

Program and Project Management:

  • Design and implement programs and processes to deliver performance improvements to continually support Accenture's Workplace Solutions strategy.
  • Utilize Workplace tools for workflow/service management and analyze data and/or process performance to drive innovation and continuous improvement.
  • Lead quality assurance checks to ensure service standards are being met.
  • Participate in sharing best practices across teams/locations/countries.

People Management:

  • Lead and manage a team of Workplace location services or facility employees.
  • Manage and ensure consistent application of human resource processes, including career development, performance management and recruiting within area of responsibility.
  • Provide leadership, direction, and employee supervision within the areas of responsibility.
  • Oversee and assist with integration of new joiners.

Health & Safety:

  • Observe, report and conclude Health and Safety issues within remit areas.
  • Carry out instructions for security, fire, health and safety and maintain records.
  • Ensure that building and physical access security.
  • Ensure that the Audio-visual equipment are working properly.
  • Liaise with suppliers for repairs of Audio-Visual equipment.
  • Troubleshoot during meetings.

Storage:

  • Execute the delivery of storage services (retrieval, return and/or destruction of documents) for day visitors, permanent residents and the provision of offsite storage, according to archival guidelines and working together with Records & Information Management.
  • Manage office supplies / stationary inventory.

Academic Qualifications and Skills Requirements:

  • Relative Bachelor Degree or Junior civil engineer.
  • 8 - 10 years of working experience in Office Services / Facility Management.
  • Requires thorough knowledge of policies, procedure and structure of area(s) of responsibility.
  • Requires the use of initiative and independent judgement.
  • Solid business acumen and previous experience in a similar domain (preferably in an international company).
  • Strong customer service skills.
  • Strong interpersonal, communication (French and English) and problem-solving skills.
  • Ability to work well with all levels of management, staff and external service providers.
  • Rigor and high-quality work and processes focus.
  • Leadership, teamwork spirit, positive attitude and high degree of self-confidence.
  • Self-motivated.
  • Analytical skills.
  • Project management skills.
  • Knowledge of Finance and Budget.
  • Knowledge of contract management.
  • Computer skills - knowledge of Word and Excel applications.
