What would you do? Document Strategy & Governance: Provide strategic oversight for end-to-end SPD and Adoption Agreement governance for new and existing Defined Benefit (DB) and Defined Contribution (DC) plans. Establish and approve standards for standard, custom, and client-specific SPD wording in alignment with Underwriting Committee decisions. Ensure consistent interpretation and execution of plan design, client requirements, and exclusions across portfolios. Stakeholder & Field Engagement: Lead engagement with field teams to validate client requirements, plan design elements, and regulatory considerations. Act as the senior escalation point to resolve complex documentation issues, client exceptions, and field-related challenges. Partner with Underwriting, Legal, Compliance, and Employer Records to align documentation outcomes with business and regulatory objectives. Document Issuance Oversight: Oversee preparation and issuance of Group Annuity Contracts, Certificates, Important Notices, and State Notices. Govern issuance of contract and certificate riders driven by employer requests, regulatory updates, or policy changes. Ensure effective execution of triggerless riders (e.g., name changes, bulk transfers) through standardized controls. Provide leadership oversight for digital SPD delivery and document publication processes. Quality, Compliance & Risk Management: Define and enforce quality control frameworks across the document issuance lifecycle. Review quality metrics, audit outcomes, and regulatory findings to identify risks and drive corrective and preventive actions. Ensure all issued documents comply with applicable laws, regulations, and internal issuance standards. Systems, Digital Enablement & Controls: Oversee document management, publishing, and archival processes across platforms (e.g., OnBase, e-signature tools). Drive adoption of digital document delivery, e-signature enablement, and secure client access. Sponsor enhancements to document generation, reporting, and workflow tools to improve efficiency and accuracy. Client, Internal Support & Special Initiatives: Ensure timely and accurate fulfillment of client and internal requests for plan documents, specimen contracts, and issued certificates.
What are we looking for? Functional expertise in U.S. retirement plans, including both Defined Contribution (DC) and Defined Benefit (DB) schemes. Proven ability to manage end-to-end service delivery, lead high-performing teams, and drive operational improvements. Experience managing U.S. Retirement operations, with deep expertise in overseeing end-to-end document strategy, governance, and delivery. Proven expertise in regulatory compliance, quality oversight, system publishing, and cross-functional leadership, ensuring accurate, timely, and compliant issuance of plan documents across portfolios. Proven track of leading teams of 35–50 professionals and ensuring operational excellence. Skilled in overseeing remote transitions and experienced in end-to-end process performance reporting, including metrics such as SLA adherence, Turnaround Time (TAT), Quality, Average Handling Time (AHT), NIGO (Not in Good Order), and Root Cause Analysis (RCA). Strong leadership capabilities, with a demonstrated ability to guide teams through high-pressure situations while fostering collaboration, engagement, and continuous development. Adept at identifying and executing process improvement initiatives, enhancing operational efficiency, optimizing reporting frameworks, and strengthening control mechanisms across functions. Mandatory experience in 401(k) and/or 403(b) plan administration. Hands-on experience in group retirement plan documentation and issuance (DB/DC) Strong working knowledge of SPDs, adoption agreements, group annuity contracts Experience with document management systems (OnBase, Relius Exchange, Qlik preferred) Open to core Night shifts based on business requirements Excellent communication skills, both written and verbal, with the ability to effectively present complex information to a range of audiences

Establish performance standards, controls, and continuous improvement goals for the function. Lead training, capability development, and knowledge-sharing initiatives to strengthen team expertise and succession of readiness.
