Job Description
 
The GMC Executive Support Specialist provides the highest level of executive support and serves as the primary contact for the most senior executive roles (GMC) within Accenture.  The GMC Executive Support Specialist is empowered to execute decisions on behalf of the executive and represents and supports the executive in client and non-client activities often acting as a liaison between the executive and his/her organization or clients.  The GMC Executive Support Specialist with a large degree of autonomy and independently completes high quality work to meet established goals with little supervision.  He/she should possess the competence, initiative and business acumen necessary to support the executive at the most effective level.
 
Key Responsibilities
  • Represent the executive and act as a liaison between executive(s) and their management, peers or organization, with responsibility of action within pre-agreed limits. The GMC Executive Support Specialist is the first contact when searching information managed by his/her assigned executives
  • Ensure timeliness, quality and cost effectiveness of output/deliverables
  • Act as interface between client and executive(s) teams. May make decisions on behalf of executive, understanding the potential impact of the actions taken
  • Develop relationships with executives’ clients, other top executives within the company, and their EA’s
  • Implement innovative solutions to manage leadership support
  • Assist with management of executive's budget (check charge numbers, monitor expenses against budget, personal accounts, OG accounts, TR’s, etc.) and identify corrective actions
  • Complete and track standard Accenture processes relevant to the executive’s activity (surveys, forms, Quality reviews, etc.)
  • Research, analyze and interpret data from various sources; formulate recommendations based on findings and prepare complex reports to document findings. Assess accuracy of data to highlight inconsistencies
  • Remain up to date on factors affecting each executive's area of responsibility (e.g. client/industry knowledge, issues facing the executive, global internal organization, etc.)
  • Handle confidential information relevant to the strategy of the business, OG, etc.
  • Create, manage and maintain databases to address the executive’s business needs
  • Anticipate travel needs of executive and independently coordinate complex travel arrangements, typically involving multiple changes and destinations based on understanding of executive’s availability and obligations. Usually having impact on other top executives, top clients, etc. May be required to travel
  • Manage and maintain complex calendars and coordinate appointments, meetings, conference calls, etc. for executives, including extensive rescheduling.  Keep executive informed, as needed
  • Manage all aspects of meeting planning, coordination and communication, keeping to budget and meeting objectives. Work with the Meeting and Events Planning Team. Identify and contact potential speakers, where necessary and possibly travel to meeting site to provide on-site support
  • Assist in development of meeting agenda, content and presentation materials
  • Attend and support different kind of meetings, including Committees, Councils, Boards, etc., taking minutes when required
  • Host visiting senior Accenture global personnel by greeting them, providing space and high quality administrative support when appropriate
  • May assist with personal business as and when appropriate
  • Prepare a range of correspondence/communications according to company guidelines to be sent by executive to Global OG, country/GU personnel, top clients, etc.
  • Prepare drafts of proposals/presentations based on knowledge of audience, presenter and applications, and identify appropriate B2 delivery method
  • Present or explain business-related information to Accenture personnel when required
  • Prepare complex reports as needed, including advanced graphics, charts, etc.
  • Review and sort paper-based and electronic mail, identifying action required and taking action where appropriate
  • Handle a variety of special projects at the request of the executives
  • May coordinate and facilitate interactive EA sessions and meetings, as required
  • May coordinate work completed by other team members, acting as coach to less experienced coworkers

Basic Qualification:
  • Minimum of 5 years of progressively responsible secretarial and administrative experience or a combination of related education and business experience
Preferred Skill/Qualification Requirements:
  • College degree
  • Previous support of C-Suite level executives a plus 
  • Strong skill set with demonstrated proficiency
  • Advanced knowledge of the MS Suite, including Outlook, Word, PowerPoint and Excel
  • Expert calendaring, travel (highly complex), and MS Office skills
  • Advanced experience booking and managing complex travel arrangements (Domestic and International)

Role Requirements:

  • Flexibility for extensive overtime is required
