Job Summary: 

 

The Hosting Services Catering & Events Coordinator is responsible for the daily client management of the function catering and events, and will provide excellence in customer service and logistics within the Client Experience Centre and other collaboration spaces. You will be the main point of contact ensuring synergy across all facets of the Business for hosted experiences.

 

The scope of service delivery comprises of quoting, coordinating, liaising and communicating with all stakeholders to ensure smooth running of catering bookings and events. Ensure the Hosting Services arm of Office Operations in Sydney runs smoothly and that customer service for both internal and external clients is second to none.

 

As a key player in the new hosted Workplace experience organization, your role is to ensure all team members in the Hosting Services arm communicate effectively; show cohesion and provide amazing food and services.

Key Responsibilities:

  • To maintain and develop professional relationships with internal and external business contacts
  • Develop and maintain a close working relationship with the executive chef and in-house catering team
  • Work closely with (and take guidance from) the Meeting & Events team to bring the rigour and structure applied to the running of external events to internal events
  • Ascertaining the customer’s event & catering requirements, providing relevant details and converting enquiry into confirmed bookings. Liaising with the kitchen and FOH team to provide balanced menus, meet budgets and provide excellent customer service.
  • Pro-active and efficient service delivery, which anticipates and accommodates our customers’ needs.
  • Ensure that all costs are finalised post event including final labour cost, liquor, linen and flowers.
  • To understand the key components of event management together with an understanding of OH&S, RSA and Food Safety.
  • Responsibility for hosting, operating and managing the Client Experience Centre and other client immersion space
  • Ensure reservations, AV, catering and any other facilities are prepared for any meeting or event
  • Check with the Reservations team that appropriate room/s have been allocated each day, technology has been prepared and catering requests lodged
  • Work closely with the Reservations team, Meetings & Events team, Marketing team etc to ensure you are aware of all client hosted office meeting and events and specific expectations
  • Management of meeting/event debrief process
  • Escalate any technology concerns to LTS promptly and follow through with solutions/fixes to ensure seamless technology 
  • Provide reporting to management as required
  • Work closely with Reservations to estimate catering/support required for a meeting or event
  • Be available and attend any after-hours in-house events to ensure the smooth running of program and for security and safety
  • Provide afterhours access to external personnel, contractors for events as needed
  • Collect feedback from your team and endeavor to constantly improve on processes
  • Ensure compliance with WHS requirements and practices 
  • You are required to fulfil the role of Fire/Floor Warden and participate in mandatory training
  • You are required to become First aid qualified
